Custom booking system: how it works and when it beats an off-the-shelf tool

TL;DR

A custom booking system shows customers free slots according to your rules, sends a confirmation and reminder and gives the business a clear calendar. An off-the-shelf tool is enough for a simple calendar; a custom system pays off with specific rules and connections to other systems.

What is a custom booking system?

Answer

A web application that shows customers available slots, accepts bookings according to your rules and sends a confirmation and a reminder. The business manages it through a clear admin panel.

A booking system has two sides. The customer side, where a person chooses a service and a time and fills in their contact details, and the admin side, where the business sees the calendar, adjusts appointments and sets the rules. I build systems like this for clinics and businesses. If you are looking for someone to build one for you, have a look at my services.

"Custom" means the system follows your rules, not the other way round. If an initial examination takes 40 minutes and a check-up 15, if some services can only be done by one colleague, or if you need a questionnaire completed before the first visit, the system takes it into account.

Which features should a good booking system have?

Answer

A clear choice of service and slot, confirmations and reminders by email or text, the option to cancel, management of several people and rooms, and an admin panel that is fast on mobile too.

For the customer

  • choosing a service, staff member and free slot in a few clicks,
  • a booking confirmation by email and a reminder before the appointment,
  • easy cancellation or rescheduling,
  • an intake questionnaire or a note with the booking.

For the business

  • a calendar by day, week and staff member,
  • different service lengths, breaks, holidays and public holidays,
  • capacity: rooms, equipment, number of places,
  • manually adding a booking from a phone call,
  • exports and occupancy overviews,
  • access rights for individual colleagues.

Which businesses is a booking system suitable for?

Answer

All those that work with appointments: practices, clinics, salons, gyms, workshops, consultants, accommodation, space rental and tuition.

  1. Practices and clinics: different types of examination, registered and new patients, reminders. The Gynkomed clinic uses a system like this.
  2. Salons and studios: services of different lengths and the choice of a specific staff member.
  3. Car workshops: type of job, workshop capacity, vehicle details.
  4. Consultants and tutors: sessions in person and online.
  5. Accommodation and rentals: occupancy of rooms, apartments or equipment, as with the KarlovaTop apartments in Prague or the Medke Plus medical aids rental.

What does it look like in practice at Gynkomed and Medke Plus?

Answer

For the Gynkomed gynaecology clinic I built patient booking with a schedule in 15-minute slots and email reminders. For Medke Plus, bookings for a medical aids rental with a calendar of occupied days.

The Gynkomed booking system distinguishes between registered and unregistered patients. Each service has its own length and some, such as preventive check-ups, are only for registered patients. When an unregistered patient wants to register straight away, the system automatically reserves a longer slot for her.

The clinic sees a weekly schedule similar to an Excel table, and colour shows the status of each slot: confirmed online, pending or added from a phone call. The admin is password protected and the system backs itself up twice a day.

For Medke Plus from Sobrance I set up bookings for a medical aids rental. The customer sees a calendar of occupied days for each item, the items are loaded directly from the online shop and the owner has all bookings in one dashboard.

When is an off-the-shelf tool enough and when is a custom system better?

Answer

An off-the-shelf tool is enough for a simple calendar with a few services. A custom system pays off with specific rules, connections to other systems and when you want both the data and the look under your own control.

Off-the-shelf booking tools are good today and are perfectly sufficient for many businesses. A custom system makes sense when:

  • you need rules that an off-the-shelf tool cannot set,
  • bookings should be connected to your records, invoicing or CRM,
  • you want booking to look and behave like part of your website,
  • you want client data stored according to your own requirements,
  • you plan to extend the system with further features, such as a client area.

A booking system is a typical custom web application. It starts with the most important features and more are added based on experience.

How do an off-the-shelf tool and a custom system differ point by point?

Answer

An off-the-shelf tool is quicker to launch and paid for on an ongoing basis. A custom system takes longer but follows your rules, is part of your website and keeps the data under your control.

Comparing specific features makes the decision easier. The table is based on general differences; individual off-the-shelf tools vary.

FeatureOff-the-shelf booking toolCustom system
Launchquick, after sign-up and setupafter analysis, design and development
Paymentusually a monthly licence, often per staff memberone-off development, then hosting and any text messages
Ruleswithin the range the tool offersaccording to your needs
Lookthe tool's design, often at a different addresspart of your website
Connectionsdepending on available integrationsto your records, invoicing or CRM
Datawith the tool's provideron your server or in a database of your choice

If an off-the-shelf tool suits you, there is no reason to change it. A custom system is a sensible next step when you start working around its limits or when licences for the whole team stop making sense.

How is a booking system built?

Answer

First we write down services, rules and capacity, then I design the customer and admin screens, followed by development, integration with the website, testing and training.

  1. Analysis: services, their lengths, who provides them, rules for cancellations and reminders.
  2. Design: the booking form and admin, with an emphasis on mobile.
  3. Development: calendar, rules, notifications and access.
  4. Integration: embedding in the website, email and text notifications, and other systems if needed.
  5. Testing: with real services and staff.
  6. Launch and training: a short guide for the team and support in the first weeks.

How do you introduce online bookings without chaos?

Answer

Start with one service or one colleague, inform regular customers, keep phone bookings running in parallel and after a few weeks evaluate what to adjust.

Changing the way people book is new for both customers and the team. A gradual rollout reduces the risk of misunderstandings and gives time to adapt the rules to reality.

  1. Pilot: launch online bookings first for one service or one staff member.
  2. Communication: add a prominent button to the website, a line in your email signature and a notice on the premises.
  3. Parallel mode: phone bookings remain until customers get used to it; bookings taken by phone go into the same calendar.
  4. Evaluation: after a few weeks you look at how many bookings came online, where customers hesitated and what needs adjusting.
  5. Expansion: you add more services, colleagues or features, such as an intake questionnaire.

What to think about when setting rules

  • how far in advance bookings can be made and until when they can be cancelled,
  • whether a booking needs confirming by the business or is valid immediately,
  • buffers between appointments for preparation and cleaning,
  • what happens when a customer does not show up.

Good rules are simple and easy to understand. The customer should know where they stand, and the team should not have to deal with exceptions every day. If you want customers to decide on the scope of the service while booking, the system can be connected to a configurator.

Reminders by email or text message?

Answer

Email has no extra cost per message and can carry more information. A text message gets noticed faster, but each one is paid for. They are often combined: a confirmation by email, a short reminder by text.

Reminders are among the features with the biggest impact on missed appointments. When choosing a channel, it is worth considering who your customers are and what you want to tell them.

  • Email: suitable for a confirmation with details, instructions and a link to cancel or reschedule.
  • Text message: a short message with the date, time and address. It suits customers who do not read email regularly.
  • Timing: a reminder the day before is common; for morning appointments, the afternoon of the previous day may be better.
  • Consent and content: a reminder concerns the agreed appointment and should not contain advertising. Process the customer's data only for this purpose.

In a custom system you can set which services get which type of reminder and with what text. For example, for a first visit the reminder can also include instructions on what to bring.

What does a booking system bring a business?

Answer

Fewer phone calls, fewer missed appointments thanks to reminders, bookings outside working hours and an overview of occupancy in one place.

  • Time: customers book appointments themselves and the phone rings less.
  • Fewer missed visits: reminders before the appointment work.
  • Availability: booking is possible in the evening and at weekends.
  • Order: one calendar for the whole team instead of notebooks and spreadsheets.
  • Preparation: a questionnaire completed in advance shortens the visit itself.

Reminders, confirmations and passing bookings to other systems are also examples of automation that saves a business time every day.

Frequently asked questions

What is a custom booking system?

A web application where customers choose a service and a free slot online according to the business's rules, while the business manages the calendar, capacity and notifications in a clear admin panel.

Can a booking system be connected to an existing website?

Yes. I embed the booking form in your existing website and style it to match, so it feels like a natural part of it.

Does a booking system send reminders?

Yes. The system can send a confirmation after booking and a reminder before the appointment by email or text message, which significantly reduces the number of missed visits.

How much does a custom booking system cost?

It depends on the number of services and rules, the number of staff and rooms, notifications and connections to other systems. I will send you a proposal and a price estimate free of charge within 2 working days.

Is a booking system GDPR compliant?

Yes, if it is set up properly. For clinics this involves health data, which GDPR protects more strictly. The form therefore asks only for name, contact details, type of service and time, the email reminder does not state the reason for the visit, the admin is password protected and the data is stored in a database in the EU with backups. Patients must be informed about the processing and their data can be deleted on request. I recommend having the legal wording of the notices checked.
